Foreign Language Secretary (f/m/d)

The Max Delbrück Center for Molecular Medicine in the Helmholtz Association aims to transform tomorrow’s medicine through our discoveries of today. Then become part of our research center! For our Berlin-Buch location, we are looking for an Assistant (f/m/d) on a full-time basis (39 hours/week). In this responsible role, you will act as an interface between science and administration, taking on a wide range of secretarial and administrative tasks within an internationally renowned research institution.

Job Description

  • Independent handling of general assistance as well as commercial and administrative tasks in German and English, in close coordination with the heads of both research areas
  • Organization and coordination of the office, including calendar and appointment management, processing of mail and emails, telephone and video conferencing, ordering, as well as structured filing and document management
  • Support in HR matters, e.g. with job postings and the preparation of documents for recruitments, contract extensions, and guest registrations
  • Responsibility for fund management, budget monitoring, and the billing of service costs
  • Preparation, organization, and follow-up of events such as (web) seminars, meetings, and workshops, including the creation and preparation of documents, presentations, and minutes
  • Support and assistance for international guests
  • Organization and management of business travel (planning, booking, and expense settlement)
  • Maintenance and updating of websites

Requirements

  • Successfully completed vocational training, e.g. as a Foreign Language Secretary, Office Management/Office Communication Specialist, or a comparable qualification
  • Ideally initial professional experience in a secretarial, administrative, or assistant role, e.g. in project support or event management
  • Very good command of German and English, both written and spoken
  • Proficient in common IT and MS Office applications as well as digital communication tools
  • Structured, independent, and reliable working style combined with strong organizational skills, initiative, and a solution-oriented mindset
  • Quick comprehension skills and the ability to rapidly familiarize yourself with new administrative processes and topics
